Overview
Connecting HubSpot lets Wolfia tie each security questionnaire or RFP to the right company and deal, so answers draw on live account context and status updates flow back to the matching opportunity automatically.Permissions by use case
Wolfia follows least privilege. Read access powers everything by default; write is used only if you enable the optional write-back feature.
Wolfia never requests delete permissions on any object.
HubSpot OAuth grants the app’s scopes as a single approval, so the write scope appears in the consent screen even if you never enable write-back. With write-back off, Wolfia only reads.
Prerequisites
Before setting up the integration, you’ll need:- A HubSpot account with Admin or Super Admin access
- Permission to approve OAuth integrations for your HubSpot portal
Setup instructions
Step 1: Open Wolfia integrations
- Log in to your Wolfia account
- Navigate to Trust Center → Integrations
- Find HubSpot in the list of available integrations
Step 2: Connect HubSpot
- Click Connect on the HubSpot integration card
- You’ll be redirected to HubSpot’s sign-in page
- Sign in with your HubSpot credentials (if not already signed in)
Step 3: Select your HubSpot account
If you have access to multiple HubSpot portals, select the account you want to connect to Wolfia.Step 4: Approve permissions
HubSpot will display the permissions Wolfia is requesting; they match the Permissions by use case table above. Click Connect app to grant Wolfia access.Step 5: Verify the connection
After approving, you’ll be redirected back to Wolfia.- The HubSpot integration should now show as Connected in your integrations page
- Wolfia will begin the initial data sync automatically
- You can verify sync progress in the integration status panel
What happens after setup
Once connected, Wolfia will:- Import existing data: Sync your companies, deals, and contacts from HubSpot
- Continuous sync: Automatically update when data changes in either system
- Enrich context: Use HubSpot data to provide better responses to questionnaires
- Update HubSpot (only if write-back is enabled): Write questionnaire status back to the matching company or deal
Managing the integration
Viewing sync status
Check the health and activity of your HubSpot integration:- Navigate to Trust Center → Integrations
- Find HubSpot in the connected integrations
- View:
- Last sync time
- Number of synced records
- Any sync errors or warnings
Pausing the integration
Temporarily disable syncing without removing the integration:- Go to Trust Center → Integrations → HubSpot
- Toggle the Active switch to off
- Syncing will pause immediately
- Toggle back on to resume syncing
Disconnecting HubSpot
Remove the integration entirely:- Go to Trust Center → Integrations → HubSpot
- Click Disconnect
- Confirm the disconnection
- The integration will be removed, but your data in both systems remains unchanged
Security considerations
- The integration uses OAuth 2.0 for secure authentication: no API keys or tokens to manage
- Read access is the default; Wolfia writes nothing unless you enable questionnaire write-back
- All data transmission is encrypted using HTTPS
- OAuth tokens are stored securely and never exposed in logs
- No delete permissions to prevent accidental data loss
- You can revoke access at any time from HubSpot Settings → Integrations → Connected Apps
Troubleshooting
Common issues
Connection failed- Ensure you have Admin or Super Admin access in HubSpot
- Try disconnecting and reconnecting the integration
- Check that your HubSpot account is active and in good standing
- Verify the integration is active (not paused) in Wolfia settings
- Check that you approved all requested permissions during the OAuth flow
- Review the sync logs in Wolfia for specific error messages
- Your HubSpot account may not have sufficient permissions
- Try disconnecting and reconnecting; you’ll be prompted to approve permissions again
- Contact your HubSpot administrator to verify your role has the required access
- HubSpot syncs run periodically (typically daily)
- Large data sets may take longer to complete the initial sync
- Check the last sync time in Wolfia’s integration settings
Reconnecting the integration
If you need to refresh the connection (e.g., after changing HubSpot permissions or accounts):- Go to Trust Center → Integrations → HubSpot
- Click Disconnect to remove the current connection
- Click Connect to start the OAuth flow again
- Approve the requested permissions
- Data syncing will resume with the new connection
